RootNia

Insurance

Document AI for insurers and brokers

In short

RootNia is an agentic knowledge platform that connects an insurer's repositories (SharePoint, OneDrive and databases), automatically classifies policies, claim forms, loss-adjuster reports and policy wordings, and answers questions with RAG over those documents. Every answer links to the exact page that supports it, and the platform can run in a dedicated VPC or on-premise.

The problem: knowledge split across policies, claims and email

At an insurer, the answer to a simple question — “does this policy cover water damage at the second home?” — is usually spread across the general wording, the specific conditions, an endorsement signed three years ago and the claim history. Claims handlers, underwriters and service teams spend a significant part of their day finding and re-reading those documents.

Full-text search barely helps: it cannot tell an active policy from a cancelled one, nor understand that “excess” and “deductible” mean the same thing.

How RootNia solves it

  1. Document orchestrator. Connects SharePoint, OneDrive and your policy and claims databases into a single intake flow, without migrating anything.
  2. Extractor and classifier. MIKA reads text, tables and scanned pages — including handwritten claim forms digitized with OCR — and classifies every document by sector and type.
  3. RAG. For each question, RAG retrieves only the relevant clauses and documents from the file.
  4. Traceable answer. The LLM of your choice (ChatGPT, Claude, Kimi or another) drafts the answer and VERA anchors every value to the exact page and region it came from.

Common use cases

  • Claims handling: file summary, applicable cover and missing documentation.
  • Underwriting: querying policy wordings and comparing product versions.
  • Customer service: consistent answers about cover, with the clause cited.
  • Internal audit: which document grounded each answer, with which classification and which model.

Example: from question to verified answer

Illustrative example of how it works, not a specific customer.

A claims handler asks: “Does the policy cover water damage at the property, and which deductible applies?”

  1. RootNia finds the documents in the file — policy, specific conditions and endorsements — already classified by type.
  2. RAG retrieves the water-damage clause from the wording and the latest endorsement that changed the deductible.
  3. The LLM drafts the answer: applicable cover and current deductible, citing both documents.
  4. The handler opens the exact region of each clause in one click and verifies the answer before sharing it.

Getting started

  • No migration: the repositories where policies and claims already live are connected as they are.
  • Timelines: from 48–72 h on Starter to 1–2 weeks on Business; Enterprise deployments, common at insurers because of on-prem or dedicated VPC, take 3 to 9 weeks depending on the sources.
  • First step: a 20-minute demo with a sample of your own documents.

Governance and deployment

Documents are separated into private, public and technical tiers from the moment they are ingested, and access control follows that tier. For carriers that cannot move data outside their infrastructure, the Enterprise plan includes on-premise or dedicated VPC deployment, SCIM and a custom SLA. Frequently asked questions

Which insurance documents can RootNia classify?

Policies, general and specific policy wordings, endorsements, claim forms, loss-adjuster reports, repair invoices, policyholder correspondence and reinsurance documentation. The classifier assigns sector and document type with no manual rules.

Can it answer questions about the cover of a specific policy?

Yes. RAG retrieves the relevant clauses from the policy and its wording before the LLM answers, and VERA anchors every value to its location in the document so the claims handler can verify it in one click.

Does it help with DORA and GDPR?

RootNia is designed to help you comply with DORA, GDPR, NIS2 and the EU AI Act — every retrieval is logged, access follows private, public and technical tiers, and on-prem or dedicated VPC deployment keeps data inside your perimeter. Final compliance depends on your own processes and controls.
